Privacy notice

How we handle personal information when you visit our website, contact us, book an assessment or correspond with us as a business contact.

Who is responsible

Renable Research Limited is the controller responsible for the personal information described in this notice. We are registered in England and Wales with company number 12250609. Our registered office is Ground Floor East Hyde, 38 Clarendon Road, Watford, Hertfordshire WD17 1JW.

This notice covers website visitors and business contacts. Arrangements for personal information we process on a client’s behalf during an engagement are agreed separately with that client.

Information you give us

If you use our contact form, we ask for your name, your company, your work email address, what you are interested in and your message. Your phone number is optional. If you email us directly, we receive your email address and whatever your message contains.

If you book a free enrollment assessment, the scheduler asks for your name, your company, your email address, your therapy area, the enrollment problem you want to discuss and the stage your study has reached. Roughly how many sites you have and in which countries, your phone number and any further request are optional. We use those answers to prepare for the hour so that we can spend it on your study.

We send an automatic acknowledgement to the email address you give us, so that you know your message or booking arrived. It goes only to that address.

If our discussion continues, we keep relevant correspondence and business contact details so that we can respond and manage the relationship.

You are not legally required to contact us or provide this information. We need enough information about your inquiry, and a way to contact you, to respond.

We are glad to sign your non-disclosure agreement before we discuss your study in detail, and to agree a secure way to exchange anything confidential. Until that is in place, please keep your first message general. A web form and ordinary email are not a suitable channel for patient or participant information, including coded participant data, medical records or confidential study documents.

Information collected automatically

Our hosting provider receives technical information, including your internet address and the pages you request, to deliver the website and help keep it secure.

The illustrative funnel calculator runs in your browser. The values you enter are not sent to Renable.

The Geist typeface is served from this website rather than from a font service, so displaying a page does not involve any other company.

We use no analytics, advertising or tracking technologies on this website. Our Cookies page explains cookies, browser storage and external connections, including the one thing on this site that loads from somewhere else.

Why we use personal information

We use personal information for the following purposes:

  • Answering inquiries, arranging assessments and managing business relationships: we rely on our legitimate interests in responding to requests, discussing our services and administering our work with business contacts.
  • Delivering, displaying and protecting the website: we rely on our legitimate interests in operating a functional, readable and secure business website, investigating faults and preventing misuse.
  • Keeping records required by law and responding to data protection requests or complaints: we rely on compliance with our legal obligations.
  • Obtaining professional advice and establishing, exercising or defending legal claims: where necessary, we rely on our legitimate interests in protecting our business and legal rights.

Where we rely on legitimate interests, we must balance those interests against your rights and reasonable expectations, and use only the information needed for the purpose.

Who receives your information

We use the following services:

  • Netlify hosts the website and processes contact form submissions. It stores submissions on our behalf and forwards notifications to our mailbox. Netlify, Inc. is based in the United States.
  • Microsoft provides our Microsoft 365 business email, which holds inquiries and relevant correspondence. Microsoft also provides the scheduler used to book an assessment, so a booking and its answers are held in our Microsoft account, and the meeting appears in our calendar.

Netlify and Microsoft process information on our behalf when providing the hosting, form, email and booking services we use. Their services also use authorised service providers. Any separate processing they carry out for their own purposes is governed by their respective privacy information.

Where necessary, we may share relevant information with professional advisers or insurers to obtain advice, meet our obligations or deal with a claim. We may also disclose information where the law requires it. We limit disclosures to what is needed for the purpose.

We do not sell your personal information.

Information handled outside the UK

Our suppliers may process information outside the United Kingdom, including in the United States. Where a transfer is covered by UK adequacy regulations, we rely on that recognised level of protection. For other restricted transfers, appropriate contractual safeguards are needed, such as the EU standard contractual clauses together with the UK International Data Transfer Addendum.

Netlify’s published data processing agreement provides for covered United States transfers under the UK Extension to the EU–US Data Privacy Framework. It also provides contractual safeguards using the standard contractual clauses and the UK Addendum where that framework does not apply.

Microsoft’s international transfer safeguards are set out in its Data Protection Addendum.

How long we keep information

We keep personal information for the purpose for which it is needed, using the following periods and criteria:

  • Enquiries and bookings that do not become engagements: up to two years after our last substantive exchange with you. This applies to contact form submissions stored by Netlify, to bookings held in our Microsoft account and to related correspondence in our mailbox. If there is no further correspondence, the period runs from when we received your inquiry. Life sciences projects can have long planning cycles, and this lets us pick up a continuing business discussion. An automatic acknowledgement does not restart this period.
  • Necessary engagement correspondence and business contact records: generally six years after the engagement ends, to maintain a record of the work and deal with questions or legal claims. We remove information that is no longer needed sooner.
  • Accounting and tax records: six years from the end of the last company financial year they relate to, or longer where the law requires it.
  • Technical logs: for the period needed to deliver and secure the service, diagnose faults and investigate misuse. The period depends on the type of log and whether it is needed for an unresolved fault or security incident.

If particular information is needed for an ongoing complaint, investigation or legal claim, we may retain the relevant records until that matter and any applicable legal retention requirement have ended. These periods do not set the retention requirements for study information handled under a separate client engagement.

Deleting information from live systems may not immediately remove copies from backups or recovery systems. Those copies expire under the relevant provider’s backup and recovery arrangements.

You can ask us to delete your information sooner. We will consider your request under data protection law. If we need to retain some information to meet a legal obligation, or to establish, exercise or defend a legal claim, we will explain why.

Your rights

Depending on the circumstances, you can ask to access your personal information, correct inaccurate information, delete information or restrict how it is used.

Your right to object: where we rely on legitimate interests, you can object to our use of your personal information for reasons relating to your particular situation. We will consider your objection under data protection law.

To exercise a right, email info@renableresearch.com. We normally respond within one calendar month. If we need information to confirm your identity, or an extension is permitted by law, we will explain what is needed and the relevant timescale.

Complaints

If you are unhappy with how we handle your personal information, you can complain to us at info@renableresearch.com.

We will acknowledge your complaint within 30 days, investigate it, keep you informed and explain the outcome without undue delay.

You also have the right to complain to the Information Commissioner’s Office.

Marketing

Contacting us does not add you to a mailing list. We use inquiry details to respond and to continue the business discussion you have asked for, rather than subscribing you to promotional messages.

If we introduce a mailing list, we will explain how it works and ask you to opt in separately. You will be able to unsubscribe at any time.

Changes to this notice

We update this notice when our handling of personal information changes.
